East Tennessee Foundation Announces Search for Program Assistant
East Tennessee Foundation is a nonprofit, 501(c)(3) community foundation serving 25 counties in East Tennessee. Governed by a volunteer board of directors, our mission is building charitable resources to make communities stronger and lives better through thoughtful giving.
We are seeking candidates for a full-time Program Assistant position. The Assistant will work independently on assigned office tasks and, as a member of the program team, will support grantmaking, scholarships and other program services. Responsibilities and qualifications are indicated below.
The position demands a demonstrated ability and willingness to work with others in a team-oriented structure and to perform a variety of tasks, ranging from detail-oriented administrative work to higher-level organizational planning and strategy. The candidate must be comfortable working with a diverse group of office staff, board members, prospects, donors, grantees, and volunteers to help accomplish the strategic plan of the Foundation. The successful candidate will show initiative as well as support the work of the program team.
Provide administrative, technical, and office support for the Foundation’s grantmaking and scholarship programs, including assisting with:
- Planning and scheduling;
- Publicizing grant and scholarship opportunities;
- Developing application forms and processing submitted proposals;
- Creating grant and scholarship award letters and disbursing payments;
- Maintaining appropriate records in databases and files;
- Providing training and technical assistance;
- Monitoring compliance with award requirements;
- Measuring the impact of grant and scholarship programs; and
- Preparing or proofreading documents.
Respond to fundholder requests and inquiries and to general inquiries about programs.
Prepare letters and other documents, including both original composition and assisting other staff.
Perform general tasks, including data entry, photocopying, scanning, filing, making file folders, and maintaining electronic and written office records.
Conduct assigned research projects regarding program planning efforts, community needs, and funding recommendations.
Provide support in preparation for board, committee, and grants panel meetings.
Assist in receptionist duties, including answering the telephone and taking and disseminating messages.
Assist in various office projects and tasks as needed.
Excellent communications skills, both written and verbal.
Strong proofreading/editing skills.
Strong interpersonal skills, positive attitude, and ability to work within a team environment and with diverse individuals.
Outstanding organizational and detail-oriented skills.
A superior knowledge of databases, Microsoft Office (including Outlook, Word, Excel, and Access), website maintenance, Microsoft Windows and other software systems.
Ability to juggle multiple tasks.
Preference given to applicants with a B.S. or B.A. degree and at least two years of experience working for or with nonprofit organizations.
